1. Booking Your Visit
Tentative bookings will be held for 24 hours. If confirmation is not received within this period, the booking may be released. To secure your booking, a $200 credit card pre-authorisation and a copy of a valid government-issued photo ID are required. No charges will be made to your card unless permitted under these Terms & Conditions.

No pre-authorisation = No booking.

All guests must be on one of the packages in this guide to reserve a space at Oakover Grounds.

2. Approved Transport Providers
To help ensure a safe and enjoyable experience for all guests, Oakover Grounds only accepts party buses operated by transport providers that are current registered members of BusWA and comply with the Swan Valley
Liquor Accord Code of Conduct.
It is the organiser's responsibility to ensure their chosen bus company is BusWA registered before arrival.
Oakover Grounds reserves the right to refuse entry to any group arriving with a non-compliant transport provider. Such bookings will be treated as cancellations and cancellation fees may apply.

3. Cancellations
Cancellations made within 48 hours of the booking time will incur a $200 cancellation fee.

4. Confirmation of Guest Numbers
Your reservation is made for a specific number of guests.
Final guest numbers must be confirmed by email 7 days prior to your booking. No changes can be made after this time.

5. Refusal of Entry & Service
Oakover Grounds reserves the right to refuse entry and/or service to an individual or an entire group.
Reasons for refusal include, but are not limited to:

• Intoxication or signs of excessive alcohol consumption.

• Aggressive, abusive, offensive or anti-social behaviour.

• Failure to comply with venue policies or lawful directions from staff.

• Failure to produce valid photo identification when requested. (Accepted ID includes a driver's licence, passport or proof of age card.)

• Minors not accompanied by a parent or legal guardian where required.

• Arrival via a non-compliant transport provider.

• Bringing external alcohol onto the premises or attempting to conceal alcoholic beverages.

• Possession or use of illicit substances.

• Vomiting, urinating or defecating anywhere other than designated facilities.

• Any behaviour that compromises the safety, comfort or enjoyment of other patrons or staff.

Where appropriate, Oakover Grounds may notify the relevant bus operator, neighbouring venues and/or the Swan Valley Liquor Enforcement Unit of any serious incidents.

Guests may be requested to consent to bag inspections upon arrival. Failure to comply with reasonable directions from venue staff may result in refusal of entry or removal from the premises.

Any guest or group removed from the venue for the reasons above will not be entitled to a refund.

6. Late Arrival & No Shows
Groups arriving more than 15 minutes after their scheduled booking time, or failing to arrive, may have their booking treated as a cancellation and applicable fees will apply.

7. Pre-Paid Packages
Pre-paid food, beverage or experience packages are non-refundable where a booking is cancelled, results in a no-show, or entry/service is refused under these Terms & Conditions.

8. Damage, Cleaning & Liability
The booking organiser accepts responsibility for any loss, damage or excessive cleaning required as a result of the conduct of their group.
This includes damage to venue property, furniture, fittings, landscaping or equipment, as well as costs associated with theft, excessive cleaning or disruption caused by the booking.
Oakover Grounds reserves the right to recover these costs by charging the nominated credit card provided at the time of booking.
While every reasonable care is taken with guests' personal belongings, Oakover Grounds accepts no responsibility for lost, stolen or damaged property before, during or after the booking.

9. Venue Access
Guests must remain within the areas allocated to their booking and must not enter spaces reserved for private functions or restricted operational areas.

While every effort will be made to accommodate booking location requests, seating locations and experiences may be subject to weather conditions, operational requirements and venue capacity.

These Terms & Conditions are designed to ensure a safe, respectful and enjoyable experience for all guests visiting Oakover Grounds. We appreciate your cooperation and look forward to welcoming your group.
